    Student Representative Winter 2025

    Student Representatives play an invaluable role in shaping the student experience at the Open University. We welcome all students that are passionate about using their thoughts, ideas and experiences to make a positive difference for the wider student community now and in the future.

    In this role, you will work with a team of volunteers to attend meetings that are held by the Open University to promote the presence of the student voice throughout each level of governance. We welcome applications from all students. We have vacancies in the following areas: 

    Access and Open 

    • Access Board of Studies  
    • Open Board of Studies  
       

    Faculty of Science, Technology, Engineering and Mathematics

    • Life, Health and Chemical Sciences Board of Studies 
       

    Faculty of Wellbeing, Education and Language Studies

    • Health, Wellbeing and Social Care Board of Studies   
    • Languages and Applied Linguistics Board of Studies  
       

    As a Student Representative, you’ll become part of a volunteer team that champions the views and interests of the wider student community, known as the Student Voice. Your role includes attending meetings held by The Open University to ensure that this voice is heard and considered at every level of governance.

    A successful Student Representative will:  

    • Join a committee as a full member 
      You’ll be able to comment, ask questions, and raise issues where appropriate. For details about each committee, see the Committee Descriptions and Chart. 

    • Prepare for meetings 
      You’ll receive meeting papers in advance to read. There will also be opportunities to discuss issues with other Student Representatives and Open SU staff. 

    • Respect confidentiality 
      Some papers are highly confidential. You’ll need to sign and follow a Confidentiality Agreement. 

    • Submit a report after each meeting 
      This report highlights key discussions and helps keep other Student Representatives and Open SU staff informed. 

    • Attend the Student Voice Monthly Online Forum (optional) 
      A great way to stay connected and share ideas. 

    • Engage with the Student Representative Community 
      Through our online Student Rep Hub, you can keep up to date and get involved. 

    • Take part in other Student Voice activities (optional) 
      Opportunities will be shared as they become available. 

    To apply for a Student Representative role at Open SU, you must meet the following criteria: 

    Active Student Status 
    You must be a registered and active Open University student. This means you are either: 

    • Currently studying a module, or 

    • Have previously completed a module and are registered to begin your next module when the Student Representative role starts. 

    Eligible Modules 

    • You must be studying Open University modules worth at least 30 credits, or an Access module.

    • Students registered as Postgraduate Researchers are also eligible. 

    Role-Specific Requirements 
    Some roles may have additional eligibility criteria. For example, certain positions might require you to be studying specific modules or qualifications. For example, if you are studying Maths, you will not be eligible for a Law committee. 

    Academic Progress 
    To support your academic success, we will not consider applications from students who have failed or not completed their three most recently started modules at the time of application. This is to help you prioritise your studies and maintain positive academic progress. 

    Decisions on eligibility will be made by the Student Voice Ttam at the time of application. 

    Role terms expire on 31 August 2027.

    Commitment 

    The role will usually last between 1 and 2 years.  

    Most committees meet 3-5 times per year.  

    You should allow: 

    • 3–5 hours to read your committee papers before the meeting 

    • 30 minutes ahead of each meeting to meet with Open SU (optional) 

    • Up to 5 hours to attend the committee meeting 

    • Additional travel time if meetings are held on campus in Milton Keynes. All meetings will usually provide a hybrid option, with most meetings held entirely online. 

    Other Ways to Get Involved (Optional) 

    • Contribute to online discussions via MS Teams 

    • Attend the Student Voice Online Forum once a month (1 hour) 

    • Take part in non-governance committees, discussions, and consultations as opportunities arise 

    Training 

    When you become a Student Representative, you’ll complete a training programme designed to support your introduction to the role and your ongoing development. 

    Induction Programme 

    All new Student Representatives take part in a dedicated induction, which includes: 

    Core Training: 

    • GDPR  

    • Safeguarding 

    • PREVENT 

    • Accessibility 

    • Equalities Essentials 

    What Else You’ll Learn:

    • The Student Voice – how the governance structure works and what student representation means 

    • How to read meeting papers 

    • How to prepare reports and why they matter 

    • How to access the Student Rep Hub 

    • Practical advice to help you get started 

    Shape Community and Support 

    You’ll be invited to join online spaces where you can connect with other Student Representatives and get support from the Student Voice team: 

    • Student Voice Online Forums – monthly drop-ins 

    Onboarding 

    You will also be given a dedicated email address to be used as part of your role. This is known as an @open email address and will provide access to certain spaces that you will need as a Student Representative. You will be required to complete the steps detailed by the Student Voice team to set this up.  

    To become a Student Representative, you must complete the full onboarding and induction training in prior to the role starting.  

    Location 

    This role can be carried out online, so it can be fulfilled anywhere if you have an internet connection. However, some meetings may be held in person with sufficient notice. All reasonable expenses incurred in relation to the attendance of committee meetings will be reimbursed.

    Graduation Stall Coordinator Spring 2026

    Are you currently studying with the OU and would like to join fellow #OUstudents to help celebrate each graduation ceremony by applying for the role of Graduation Coordinator at locations throughout the UK and Eire.

    As a Graduation Stall Coordinator, you can play a key role in The Open University’s degree ceremonies. These exciting and moving events mark the culmination of many years of hard work for graduates.

    Leading a small team of volunteers, you'll be engaging with graduates, their families and guests promoting the work of the Open SU and selling OU branded merchandise to raise funds for our charity, the Open University Students Educational Trust (OUSET). The Trust’s purpose is to provide study related grants to support current OU students in financial hardship where other sources of funding are not available, to help them to continue their studies. 

    In the lead up to the ceremony, as a Volunteer Graduation Stall Coordinator you'll take part in training, including an online self-learning module and a live MS Teams webinar. We use a dedicated online volunteer communication channel to stay connected and share information leading up to your ceremony, and you will be the main point of contact for both your Open University Ceremony Co-ordinator and the Open SU.

    On the day, you'll help set up the shop stall, process payments, ensure that the relevant paperwork is completed, monitoring sales, process manual orders and end of day reconciliation.

    As Graduation Stall Coordinator with additional responsibilities on the day, you'll need to be available on the stall, therefore this role does not offer the opportunity to process at the ceremony. If you wish to process at the ceremony for which you're volunteering, please apply for the Graduation Stall Volunteer role.

    Commitment: We recommend that you area available for one full day per ceremony e.g 9am to 5pm (this depends upon the location and venue). Volunteers should be available before and after ceremonies to help graduates purchase items from the stall.

    Training and recognition 

    Training is mandatory and starts two to four weeks before the date of the ceremony you're volunteering at. 

    We also expect you to familiarise yourself with important documents including our Health and Safety Policy and our Sustainability Policy.

    For the online MS Teams training session, we're offering a choice of morning, afternoon and evening at times we hope will suit you.

    Please note - you only have to attend one of the training sessions for your ceremony:

    • GDPR (keeping personal data secure).  
    • Safeguarding (keeping young people and vulnerable adults safe).  
    • PREVENT (our duty to prevent extremist radicalisation). 
    • Equality Duty (Why it is important and who it protects).  

    It also includes a training module for both Graduation Stall Coordinators and Graduation Stall Volunteers.

    You will be sent a link and sign up to our online volunteer communications channel and app so that venue details can be communicated to you and Graduation Stall Volunteers, and to keep in touch.

    Please note: Only trained and onboarded Coordinators and Volunteers are selected for each venue’s Graduation Stall team. 

    After the ceremony you will be asked for your feedback and to complete your expenses form for travel and subsistence for the day and remind your team to do likewise.  You will receive a goody bag by post, and you can also request a digital certificate of volunteering after volunteering.

    Eligibility for this volunteer opportunity

    To apply we recommend you live within 50 miles from the graduation venue as you can claim up to £70 in travel and £20 for subsistence expenses. 

    Please note that no overnight accommodation is paid.

    You need to be a member of the Open SU. 

    Members of the Open SU are defined in Section 11 of the Open SU Articles of Association*
