    Club Lead

    Open SU

    This opportunity is only available as part of setting up a club. Club Leads are a vital part in forming a club - the club would not exist without them. Every club must have two Club Leads.

    Applying to be a Club Lead 

    Before applying to become a Club Lead, please familiarise yourself with the How to Set Up a Club webpage and the Club Guidelines.   

    To be eligible to become a Club Lead, you need to be a member of Open SU to apply for this opportunity.  

    *Members of Open SU are defined in Section 11 of our Articles of Association 

    DBS may be required, if we deem it necessary, however this depends more on the club and if it relates to protected characteristics.

     

    In this application, you will need to detail information about your club. If you are eligible to become a Club Lead, your club application will then be passed to our approval panel for new clubs. You will need to detail the following:

    • The name of the other club lead 

    • The club name and the purpose (make sure this is distinct from existing clubs and societies)

    • A link to the platform where you meet (Facebook, Discord etc.)

    • Confirmation that you have a minimum of five students as members 

    Your training as a Club Lead 

    You will be required to complete the online self-study core training for all Open SU volunteers and online self-study for your role as a Club Lead. 

    You will be offered the opportunity to complete Event and Meet-Up Host training which will allow you to host online and face-to-face meet-ups with your club.

    You will be offered the opportunity to sign up for the Volunteer SLACK app to chat online with other Club Leads and Open SU volunteers, in our volunteer community. 

    Commitment  

    On completion of your training and once the new club is approved, Club Leads must also: 

    • Ensure membership is open to all OU students 

    • Act in accordance with our volunteer policy and volunteer agreement which includes our  Values and Behaviours Policy 

    • Have two active Club Leads at all times, if a club lead drops out the club has 3 months to find a replacement or it will be de-listed 

    • Keep in regular contact with Open SU, sharing events, news and club activity 

    • Follow the Club Guidelines 

    • Ensure club platforms are also open to Open SU staff and Student Representatives 

    As a Club Lead, you will actively engage with club members, create and host club events and keep in regular communication with Open SU. The hours you do are completely up to you, but regular communication with members is essential as is speedy response to new members and enquiries.

    You will receive an acknowledgement of your application and further email communications from Open SU detailing whether your application has been successful or not. This email will contain links to your training and onboarding. On completion of your training and onboarding by both Club Leads, the Club is listed on the oustudents.com website or you join the other Club Lead in running an existing club.

    Post Graduate and Research Student Representatives 2025

    This opportunity takes place between 01 Sep 2025 and 31 Aug 2027 Closing date for applications is 30 Jul.

    Student Representatives play an invaluable role in shaping the student experience at the Open University. We welcome all students who are passionate about using their thoughts, ideas and experiences to make a positive difference for the wider student community now and in the future!

    In this role, you will work with a team of volunteers to attend meetings that are held by the Open University to promote the presence of the student voice throughout each level of governance. We welcome applications from all students. We have vacancies in the following areas:

    • Research Committee
    • Research Degrees Committee
    • Academic Research Committee (all faculties)

    *You need to be a Post Graduate Research Student to apply for these roles. 

    A successful Student Representative will:  

    • Become a full member of the committee that they are appointed to with the ability to comment, ask questions and where appropriate raise issues to that committee. For more information about the individual committees, please see the committee descriptions and chart.    

    • Before the meeting, you will be sent meeting papers to read in advance. There will also be an opportunity to discuss these papers in advance with other Student Representatives and Open SU, in accordance with confidentiality.  

    • Some papers are highly confidential, so you will be required to adhere to a Confidentiality Agreement for Student Representatives.  

     

    • Effectively close the feedback loop by communicating contributions and outcomes to students and fellow Representatives. Attend the Student Voice Monthly Online Forum (optional attendance)  

    • Keep up to date and get involved with the Student Rep community. 

    • Be prepared to champion Open SU’s values, priorities and initiatives. 

    To be eligible for this opportunity you must:  

    Be a member of Open SU to apply. All registered OU students are automatically members according to our Articles of Association.    

    Be studying a qualification relevant to the committee you are applying for. Please see the Committee Chart and Committee Descriptions.  

    Commitment 

    Student Representatives can volunteer for a term of 12 or 24 months. Terms will start on 1 September 2025. Most committees meet 4 times per year during the working day. 

    For each meeting, you should allow:  

    • A minimum of 3 hours to read your committee papers before the meeting. 

    • A minimum of 30 minutes to meet with Open SU. 

    • Up to 6 hours to attend the committee meeting. 

    • At least 1 hour for feedback on the discussions of the meeting. 

    • Travel time to Milton Keynes if meetings are held on campus - though most meetings are online or offer a hybrid option. 

    In addition to the meetings, you may choose to get involved with the Student Representative community:  

    • By contributing to online discussions with other Student Representatives. 

    • Attending the online Student Voice Forum once per month (1 hour).  

    • Blogging about your experience on our online student magazine, The Hoot. 

    Details of training offered  

    As a Student Representative, you will be required to complete a training program designed to support both your introduction and ongoing development in the role. To carry out the role, you must complete the full onboarding and introductory training, which is expected to take place in August 2025 through video recordings and live welcome sessions. 

    We offer a dedicated induction programme for all new Student Representatives which will include:   

    Introduction to Volunteering with Open SU, which includes a suite of core training:  

    • GDPR (keeping personal data secure)  

    • Safeguarding (keeping young people and vulnerable adults safe)  

    • PREVENT (our duty to prevent extremist radicalisation).   

    • Your induction training programme will also provide in-depth information about:  

    • The Student Voice - (‘How the Governance Structure Works’ and ‘What is Student Representation?’)  

    • Guidance on reading papers for meetings   

    • Support to access online spaces  

    • Information and practical advice on getting started  

    We will also invite you to join online community spaces where you can access support and advice from other Student Representatives as well as the Student Voice team.  

    You may also express an interest and on occasion be invited to get involved in other areas where your Student Voice is valued. E.g. (Non-governance groups, discussion forums (consultations from PVC students) and Faculty based projects/working groups.  

    Location 

    This role can be carried out online, so it can be fulfilled anywhere if you have an internet connection however some meetings may be held in person with sufficient notice. All reasonable expenses incurred in relation to the attendance of committee meetings will be reimbursed.

    Graduation Stall Coordinator Autumn 2025

    The Open University's degree ceremonies are the culmination of many years' hard work for graduates. You can take part and play a key role in these exciting and moving events as a Graduation Stall Coordinator.

    Leading a small team of volunteers, you'll be engaging with graduates, their families and guests promoting the work of Open SU and selling OU branded merchandise to raise funds for our charity, the Open University Students Educational Trust (OUSET). The Trust’s purpose is to provide study related grants to support current OU students in financial hardship where other sources of funding are not available, to help them to continue their studies. 

    In the lead up to the ceremony, as a volunteer Graduation Stall Coordinator you'll take part in training, including an online self-learning module and a live MS Teams webinar. We use a dedicated online Slack channel to stay connected and share information leading up to your ceremony, and you will be the main point of contact for both your Open University Ceremony Co-ordinator and Open SU.

    On the day, you'll help set up the shop stall, process payments, ensure that the relevant paperwork is completed, monitoring sales, process manual orders and end of day reconciliation.

    As Graduation Stall Coordinator with additional responsibilities on the day, you'll need to be available on the stall, therefore this role does not offer the opportunity to process at the ceremony. If you wish to process at the ceremony for which you're volunteering, please apply for the Graduation Stall Volunteer role which would be best for you.

    You will then attend a 90-minute MS Teams training session and meet your team (there is a choice of morning, afternoon or evening) a few weeks before the day.  

    You will be sent a link and sign up to our online volunteer Slack channel and app so that venue details can be communicated to you and Graduation Stall Volunteers, and to keep in touch.

    Please note: Only trained and onboarded Coordinators and Volunteers are selected for each venue’s Graduation Stall team. 

    After the ceremony you will be asked for your feedback and to complete your expenses form for travel and subsistence for the day and remind your team to do likewise.  You can also request a digital certificate of volunteering after volunteering.

     

    Eligibility for this volunteer opportunity

    To apply we recommend you live within 50 miles from the graduation venue as you can claim up to £70 in travel and £20 for subsistence expenses. 

    Please note that no overnight accommodation is paid.

    The Events officer focuses on designing and delivering a programme of events that will help support the group and develop its community.

    Communications Officer
    The Communications Officer focuses on communicating with members of the Group on the activities and plans of the Committee.
     
    Events Officer
    The Events officer focuses on designing and delivering a programme of events that will help support the group and develop its community. 
     
    Secretary

If you are not already a member of OU Pride and are successful in being appointed to the Committee, you will automatically be added to the Group. 

     
    Please be aware, that as a volunteer, you will be expected to follow our Volunteer Policy and Volunteer Agreement. We are committed to equality, diversity, and inclusion, and you are expected to reflect this in your volunteer role. 
     
    Applications close at 23:59 on Sunday, 27 July 2025, and applications are considered shortly afterwards. We aim to inform all applicants of the outcome after 1 August 2025.
     
    If successful, you will start the role after 1 August 2025 and the role will end 31 December 2026.
